This article explains how billing works in GroupApp and outlines our policy on subscription changes, refunds, and admin requests.
All payments, subscriptions, plan changes, cancellations, and refunds are handled directly through your Stripe account.
GroupApp does NOT:
Process payments
Issue refunds
Cancel or reinstate subscriptions
Override Stripe billing behavior
GroupApp simply reflects the subscription state that exists in Stripe.
Members manage their own subscriptions from their Billing Settings, including:
Upgrading to a paid plan
Downgrading to a free plan
Canceling a subscription
Before confirming a plan change, members are shown:
Their current plan
The new plan they are switching to
If a member switches from a paid plan to a free plan, Stripe treats this as a cancellation of the paid subscription and applies your Stripe billing rules (such as proration, credits, or end-of-period access).
GroupApp does not issue or control refunds.
GroupApp cannot block, reverse, or prevent refunds
Refunds or credits are automatically handled by Stripe based on your Stripe configuration
To change refund behavior, update your Stripe settings, for example:
Disabling proration refunds
Setting cancellations to occur at the end of the billing period instead of immediately
For security, consistency, and compliance reasons, GroupApp does not make subscription changes on behalf of admins.
This includes:
Reinstating canceled subscriptions
Switching members back to paid plans
Forcing charges or future billing
Undoing member-initiated downgrades
Even when a request comes from an admin, we cannot intervene in member billing actions.
If a member accidentally switches to a free plan:
Contact the member directly
Ask them to resubscribe to the correct paid plan from their billing page
Once they complete the upgrade, billing resumes normally.
This ensures:
Explicit member consent
Compliance with Stripe billing requirements
No unexpected or disputed charges
