Admins can update an account owner's group subscription directly from the Admin Panel using the Admin-Led Subscription Change feature. The change applies to the account owner and all associated sub-accounts.
Before making the change, communicate with the account owner and confirm how many seats they need on the new subscription.
Important: Confirm the seat requirements before proceeding. Note that:
If the current seat count meets or exceeds the minimum seat requirement of the new subscription, the change will automatically apply to all existing sub-accounts.
If the current seat count is lower than the minimum required by the new subscription, the account owner will need to add more sub-accounts to meet the requirement. Make sure they understand this before proceeding.
Also, confirm the new subscription plan, the amount they'll be charged, and any remaining subscription value that will be added to their Stripe account as credit.
Note: If you change the account owner's group subscription to an individual subscription, all associated sub-accounts will lose access to the community.
Go to your Admin Panel. Under Community, click People to open your member list. Find and select the account owner whose subscription you want to change.
On their profile, click the three-dot menu on the profile card. Select Update Subscription.

This opens the subscription update panel, which displays the account owner's name, current group subscription plan, current seat count, and subscription status.
The update panel works like an order checkout. You can select a new group subscription plan, adjust the seat requirements, and review the order before confirming the change.

You'll also see a separate tab for Individual subscriptions. Select the Group tab. Search for and select the new group subscription plan.

Set the number of seats required based on your discussion with the account owner. Make sure the selected plan and seat count match what you've agreed with the account owner.

After selecting the new plan and seat count, the panel will display the account owner's current group subscription and the newly selected plan.
An order summary will also appear on the right side of the panel. Review the payment details, add-ons, and any applicable credit before proceeding.

The panel displays the payment methods saved to the account owner's account, including expired ones.
Active payment method: You can review the order summary and proceed.
Expired payment method: The card details appear grayed out, along with an error message.
No payment method: The panel displays an error message indicating that no payment method is available.
Make sure the account owner has an active payment method before continuing. If their payment method is missing or expired, contact them and ask them to update their payment details.
If the new group subscription plan includes add-ons, they'll appear in the order summary.
Required add-ons: These are automatically included in the order.
Optional add-ons: You can choose whether to include them.
Review the add-ons to make sure the order reflects the subscription you intend to assign.
You can also apply a promo code during checkout.
Enter the promo code in the order panel and apply it before continuing. The discount will apply to the new subscription.
If the new subscription costs less than the current one, the unused portion of the existing subscription will be credited to the account owner's account. This includes the remaining unused value based on the days left in the current subscription.
This amount is added as account credit, not refunded as a payment.
The account owner can check their remaining credit from their billing page.
Once you've reviewed the order summary and confirmed that everything is correct, click Continue.

GroupApp will send a verification code to the admin email address. Enter the code in the panel. Click Verify and Update Subscription.

Once the change is complete, the panel will display a green confirmation message along with the account owner's new group subscription plan and next invoice date.
The change will also be applied automatically to all associated sub-accounts.
Click Done to close the panel.

The group subscription has now been updated. The account owner can check any remaining account credit from their billing page.
